How to make a projected payroll in Rotas and Workforce Management

Whether it's due to a Holiday, such as Christmas, a holiday or any other reason, you may need to transmit payroll data earlier than usual.

In these situations, your employees' timesheets will not be complete, so you'll need to transmit actual data as well as an anticipated portion.

There are two ways to make an advance payroll.


1 - Payroll export with manual entry into payroll software

The first option is to export your payroll as you normally do, leaving any missing days.

You can then complete the missing days manually in your payroll software.

Here's how to do it:

  1. Go to the Attendances tab

  2. Finalise the pay period

  3. Click on Export Payroll and run the payroll as usual.

  4. You'll need to enter the scheduled hours into your payroll software manually, assuming that these will be the hours actually worked.

Once the payroll is complete, be sure to reopen your pay period to allow your employees to clock in and out on as they would normally do.

This will enable you to compare hours paid in advance with hours clocked in, and make adjustments to the next payroll if necessary.


2 - Enter missing time entries manually

The second option is to complete manually the missing time entries on your employees timesheet based on the scheduled hours.

Here's how to do it:

  1. Click on the day of your choice

  2. Click on apply for planned hours

When all employees time entries have been added manually. You can export the payroll as usual.

Once payroll is finished, you must go back to the time entries and delete any manual time entries you have added.

Employees will clock in and out like they regularly do which will give you access to actual worked hours for future readjustment.

πŸ“Œ Note that if you don't want your employees to clock in, simply keep the time entries you've created manually. You will however not be able to validate the difference between scheduled (paid) hours and hours worked.
